WeHaKee COVID-19 Planning and Refund & Cancellations Policies

COVID-19 Planning for Summer 2021

We are excited to welcome you home to WeHaKee Camp for Girls for the summer of 2021! Maintaining the health and safety of our camp community has always been of significant importance to us at WeHaKee Camp for Girls and that was the primary reason behind our decision to close camp this past summer. Rest assured however, we are exceptionally confident that our protocols and plans will allow us to offer a healthy, safe, fun and exciting camp experience in Summer 2021.

Our planning will take on many adjustments as information becomes available to us over the next several months. We assure you that we will communicate with our camp community on a regular basis as new information emerges.

Keeping COVID-19 in mind, here is what we are already doing to prepare for a safe and successful Summer 2021:

  • We are consulting with the American Camp Association, the CDC, the health departments of the state of Wisconsin and Sawyer County as well as with camps that successfully opened this past summer.
  • We are engaging experts who specialize in COVID-19 and camps to help guide us through developing the most appropriate policies and procedures.
  • We are including funds in our budget to cover additional staff and supplies, as well as cleaning and sanitizing services as needed.

There are many questions that we cannot answer yet: Will there be a widely available, effective vaccine? Will camps have access to rapid testing? Will campers from certain states have to be quarantined? Will international staff members be able to enter the country? Exactly what kinds of mitigation, cleaning, and health services will be needed? This is just the beginning of the list.

We promise to keep you updated on any significant changes and to work together to make Summer 2021 our best summer yet. We look forward to being in touch with any questions you may have at any time.

Refund and Cancellation Policies

COVID-19 Related Cancellations

Acknowledging the uncertain path of the current COVID-19 situation, WeHaKee Camp for Girls is committed to a caring and compassionate approach to cancellations during this global pandemic. Under normal circumstances the registration deposit is generally non-refundable. However, this policy does not apply if the cancellation is directly due to legitimate COVID-19 issues or concerns – no matter if the cancellation is parent-initiated or based on a WeHaKee administrative decision to cancel a session or sessions.

In other words, if a parent chooses to cancel a camper registration due to COVID-19, they have the choice to have the money they have paid to date (including the deposit) be donated to WeHaKee, applied to registration for the following summer or refunded. They will have the same choices if WeHeKee decides to cancel a session or sessions as well. In addition, parents may choose to have portions of their funds dispersed in more than one way. Perhaps they wish to donate a portion and apply a portion to next summer. Here are the specifics:

  • Donate to Camp WeHaKee:
Choose to donate all or a portion of your deposit and payments made to WeHaKee Camp for Girls. As a nonprofit that relies on income from program payments, it is important for our community to understand that the financial implications of canceling a camp session are serious. WeHaKee Camp for Girls relies on camp fees to not just cover our summer costs, but also our year-round operations as we prepare for the upcoming camp season. Your donation will mean a great deal to helping us remain financially viable and your donation to WeHaKee is tax-deductible.
  • Apply to Another Session or the Next Summer:
Apply all or a portion of your deposit and payments made on your account to your registration for the following summer. This helps us with financial planning and it will help you by knowing you have planned ahead.
  • Request a Refund*:
We recognize that each of us is impacted in a variety of ways by this crisis. At your request, we will issue a partial or full refund.

Please notify the WeHaKee Administrative Offices immediately of any need to cancel your camper’s registration.

Full Refund

WeHaKee Camp for Girls will immediately refund the full amount if a camper cannot be placed in the programs or dates of her choice.

If registration is contingent upon financial aid, all monies paid, including deposits will be refunded immediately if sufficient financial assistance is not offered or available.

Cancellations Prior to March 1

A refund minus the $500 deposit will be given. WeHaKee Camp for Girls reserves the right to issue all refunds in check form.

Cancellations After March 1

WeHaKee Camp for Girls retains the right to withhold all fees.

Behavioral and Other Issues

WeHaKee Camp for Girls will not refund fees if a camper leaves camp early due to homesickness, behavioral or disciplinary issues.

Parent-Initiated Departures

WeHaKee Camp for Girls will not refund fees if a camper leaves camp early due to a parent-initiated request.

Illness / Injury Before Arrival

WeHaKee Camp for Girls will refund the balance of fees paid if camper does not attend camp due to illness, injury or other circumstances approved by the Co-Directors.

Illness / Injury While Attending Camp

WeHaKee Camp for Girls will refund a prorated portion of the fees paid (not including the $500 deposit) if the camper departs due to illness, injury or other circumstances approved by the Co-Directors.

* All refunds will be made via check. Refunds to our international families will be via credit card refund or bank wire transfer.
